ORIENTATION on ACTION PLANNING & ACHIEVEMENT REPORT WRITING CONDUCTED

To prepare and provide guidance to the ELC committee coordinators in the preparation of their action plan (AP) for the current semester and achievement report (AR) by the end of the term, the ELC QA Committee conducted an action planning and achievement report writing orientation on 21st September 2021.

The session, which ran from 11AM to 11:45AM, was divided into two (2) parts. Ms. Autumn Dinkelman, ELC QA Committee member, delivered the first part and Dr. Annie B. Domede, the ELC-QA Coordinator presented the last part of the session. Ms. Autumn briefly discussed the planning process at UTAS-A  and then explained the parts of the updated AP and AR templates in detail.  She said that coordinators have to consult the ELC Operational Plan (OP) and check the KPIs relevant to their committee/level. Ms. Autumn also reminded the coordinators to ensure that all committee/level activities are incorporated in the AP to avoid conducting ad hoc activities. She also highlighted that both AP and AR templates now include identification of risks.

 

 

 

She clarified that possible risks shall be reflected in the AP including possible mitigating actions while the AR will contain the actual risks and the actions taken to mitigate such risks. Ms. Autumn also shared that the templates were simplified by the ELC QA Committee to allow for easy input of results into the AR at the end of each semester.

In the second part of the orientation session, Dr. Annie talked about the guidelines for report writing and referred the coordinators to the revised Report Writing Guidelines prepared by her Committee. She explained that coordinators are expected to submit an end of term report aside from their AR presented in a tabular form. She clarified that the report follows the Approach, Deployment, Results and Improvement (ADRI) structure. Dr. Annie further shared that the introductory paragraph where the approach is written and the deployment part of the report may be the same from semester to semester unless there are changes in the legal bases (Approach) and/or in the procedures (Deployment) followed in conducting the activity/ies mentioned in the report.
